Amazon releases new rules for order archiving. Sellers: Can you explain it more clearly?

Amazon posted a notice on the forum on July 28, 2023 , saying:

Starting from September 2023, orders older than 2 years will be archived on a monthly basis.

To ensure data security and a safe customer experience, the archived information will not include the purchaser's personally identifiable information, such as name, phone number address, and gift information.

If you require this information for accounting or tax purposes, please ensure you download it by the end of August or within two years of your order.

Archived orders still contain numerous other data fields, including purchase date, product name, ASIN, quantity, price, taxes, customer-charged shipping, and sales channel.”

However, Amazon does not remind sellers about legal provisions regulating buyers’ names and personally identifiable information (PII), such as the EU’s GDPR.

One seller commented on the forum notice because he was unsure whether Amazon would allow sellers to access orders older than two years. The Amazon seller said, "Like most announcements, this one is a bit vague. I don't understand if the announcement is saying that sellers will always be able to query all orders by order number, but after two years, these orders will not contain the buyer's "name, phone number, address, and gift information," but all other information will exist?

The seller also said he would like to know if all archived orders can be searched by order number, or if sellers can only search by order number for discrete months .

Sellers who are concerned about storing buyers ’ PII can check out the “Protecting Personal Information: A Guide for Business” published by the U.S. Federal Trade Commission (FTC) in 2016 for relevant information.
